Data Privacy Policy

Personal data

Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the ‘GDPR’).

How do we process your personal data?

Emily Catford Therapies complies with GDPR by keeping personal data

  • Storing safely
  • Destroyed securely
  • Not collecting information that is not required
  • Not retaining information that is not needed
  • Data is not sold or given to anyone else without your consent.

Emily Catford Therapies collects personal data for the following purposes:

  • replying to contact made through the website (contact forms etc)
  • Appointment reminders
  • Processing orders/contacts/appointments 
  • To produce client treatment records
  • Maintaining accounts
  • To inform you of the latest news and updates. 

Medical records are kept in line with my Governing body’s (SMA, IAAT) guidelines. In the case of referrals to other healthcare professionals, data will be shared with your consent in order to fulfil the referral.  

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.

Third Parties

We may pass your information to third party service providers who we have engaged for the purpose of completing tasks and providing services to you on our behalf. I disclose only the personal information that is necessary to deliver the service. They are GDPR compliant. 

Data is kept in Acuity Scheduling (appointment data – Name, email, contact number plus payment data is stored securely by Square if chosen to pay online). 

Rehab my Patient is used to produce exercise plans and your name and email address is used to produce and send you the documents. 

Your clinical notes are kept in Google Workspace which is only accessible by Emily Catford. 

Mailchimp is used in order to provide updates and news from Emily Catford Therapies 

What is the legal basis for processing your personal data?

  • Contractual Necessity so that we can reply to you;
  • Processing is necessary for carrying out obligations to your work/contract with us;
  • Legitimate interest to respond to enquiries concerning the services provided.

Sharing personal data

Your personal data will be treated as strictly confidential. I will only share your data with third parties with your consent.

How long do we keep data?

Seven years after the contact has expired (last appointment). Data will then be deleted in line with GDPR. For children receiving treatment, records will be kept until the age of 25.  

Your rights and your personal data

Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data:

  • The right to request a copy of the personal data 
  • The right to request corrections to any personal data if it is found to be inaccurate or out of date;
  • The right to request your personal data is erased where it is no longer necessary for Emily Catford Therapies to hold it on you. 
  • The right to withdraw your consent to the processing at any time;
  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
  • The right to object to the processing of personal data;
  • The right to lodge a complaint with the Information Commissioners Office.

 

Further processing

If we wish to use your personal data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.
